TITLE: Payroll Specialist

JOB DESCRIPTION:

Manage, verify, and enter employee’s accrued time and time away from work. Work closely with payroll in
processing and entering data for bi-weekly payroll processing. Facilitate and document worker’s
compensation claims and reporting.

QUALIFICATIONS:

1. Education and/or experience equivalent to a High School Diploma or GED
2. One (1) year of basic accounting, bookkeeping, and/or payroll experience on an automated system
3. State of Arizona Level One Fingerprint Clearance Card

ESSENTIAL FUNCTIONS:

DUTIES AND RESPONSIBILITIES:

- Assist with processing bi-weekly payroll in the system including running reports as it pertains to
time accounting.
- Accrue and account for time away from work for all employees in multiple systems.
- Adjudicate errors and voids in the time accounting system.
- Process and track FMLA, non-compensable leaves as well as black out date requests relating to
time accounting.
- Input new employee, transfer, and termination data in system with correct assignments and codes.
- Verify and approve information input into system for new and existing employees regarding
personal information, salary, benefits and accruals.
- Assist and respond to questions regarding employee accruals and general leave policy.
- Prepare bi-weekly reports relating to assigned responsibilities.
- Assist in the day-to-day operations of workers compensation.
- Follow employee's worker's compensation case from initial injury report through to closure.
Including assisting with returning employee to work status.
- Input and maintain information for tracking and reporting purposes.
- Maintain files of injured workers, and complete annual OSHA report as required.
- Answer phones and questions, and assist Human Resources staff as needed.
- Perform other duties as assigned.

KNOWLEDGE, SKILLS AND OTHER CHARACTERISTICS:

- Knowledge of basic accounting and bookkeeping methods, practices and procedures.
- Knowledge of computer accounting software.
- Knowledge of public relations/customer service methods and practices
- Knowledge of District, federal and state rules and regulations related to payroll as it pertains to
time accounting
- Skill accurately and timely entering data information into Human Resources/Payroll databases
- Skill utilizing computer databases to develop reports
- Skill utilizing customer service techniques in responding to inquiries and complaints
- Skill establishing and maintaining effective working relationships

Fast paced general office environment

PHYSICAL EFFORT:

Position may require climbing, stooping, standing, walking, lifting, keyboarding, talking, hearing, and
eyestrain, with repetitive motions.
Repetitive motion and eye strain through extensive utilization of computer hardware and software
Position may require lifting, pushing, pulling or carrying furniture, equipment and supplies weighing up to
60 pounds.
May be required to travel to in and out-of-district sites.
