TITLE: Account Specialist Senior-Time Accounting/Substitute System

JOB DESCRIPTION:

Manage, verify, and enter employee’s accrued time and time away from work. Work closely with payroll in
processing and entering data for bi-weekly payroll processing. Manage, verify and report substitute
payroll. Secure qualified substitutes for required staff.

QUALIFICATIONS:

1. Education and/or experience equivalent to a High School Diploma or GED
2. Three (3) years of basic time accounting, and/or payroll experience on multiple systems
3. Completion of District administered skills tests.
4. May require a valid Arizona Driver’s License

ESSENTIAL FUNCTIONS:

DUTIES AND RESPONSIBILITIES:

- Assist with processing bi-weekly payroll in the system including running reports as it pertains to
time accounting.
- Process and submit bi-weekly payroll reports for substitutes.
- Accrue and account for time away from work for all employees in multiple systems such as Munis,
Kronos Time Keeping and SmartFind Substitute Systems.
- Adjudicate errors and voids in the time accounting system.
- Process and track FMLA, non-compensable leaves as well as black out date requests relating to
time accounting.
- Assist with securing long-term substitutes for vacant positions and leaves of absences.
- Input new employee, transfer, and termination data in systems.
- Verify and approve information input into system for substitutes, new and existing employees
regarding personal information, salary, benefits and accruals.
- Provide technical support for substitute system.
- Assist and respond to questions regarding employee accruals and general leave policy.
- Prepare bi-weekly reports relating to assigned responsibilities.
- Input and maintain information for tracking and reporting purposes.
- Orient new staff and substitutes on the substitute system.
- Conduct orientations for new substitutes.
- Answer phones and questions, and assist Human Resources staff as needed.
- Cover reception desk as assigned.
- Perform other duties as assigned.

KNOWLEDGE, SKILLS AND OTHER CHARACTERISTICS:

? Knowledge of Federal and State accounting and reporting requirements for assigned area.
? Knowledge of basic accounting and bookkeeping methods, practices and procedures.
? Knowledge of computer accounting software.
? Knowledge of Kronos timekeeping system.
? Knowledge of absence reporting system.
? Knowledge of public relations/customer service methods and practices. ? Knowledge of District, federal and state rules and regulations related to payroll as it pertains to
time accounting.
? Knowledge of recordkeeping/file management practices and procedures.
? Knowledge of Microsoft Office and Google Drive Applications.
? Skill accurately and timely entering data information into Human Resources/Payroll databases.
? Skill utilizing computer databases to develop reports.
? Skill utilizing customer service techniques in responding to inquiries and complaints.
? Skill establishing and maintaining effective working relationships.
? Skill in, but not limited to:
o Email
o Word processing
o Spreadsheets
o Databases
o Presentation Software
o Accounting and basic math
o Use of standard office equipment

WORKING CONDITIONS:

Fast paced general office environment

PHYSICAL EFFORT:

Position may require climbing, stooping, standing, walking, lifting, keyboarding, talking, hearing, and
eyestrain, with repetitive motions.
Repetitive motion and eye strain through extensive utilization of computer hardware and software
Position may require lifting, pushing, pulling or carrying furniture, equipment and supplies weighing up to
60 pounds.
May be required to travel to in and out-of-district sites.
