TITLE: Account Specialist Senior - Purchasing

JOB DESCRIPTION:

Input and process daily school and department purchase orders. Act as assistant to the Purchasing
Supervisor.

QUALIFICATIONS:
1. Education and/or experience equivalent to a High School Diploma or GED
2. Three (3) years of experience in purchase order processing
3. State of Arizona Level One Fingerprint Clearance Card
4. Completion of District administered skills tests
5. May require a valid Driver’s License

DUTIES AND RESPONSIBILITIES:
- Process/expedite purchase orders and communicate with vendors and schools and departments
to revise purchase orders as necessary.
- Review requisitions and contract information for accuracy.
- Provide individual, group training and technical support for purchasing related standards and
procedures.
- Assist with procuring materials, services and equipment for the schools and departments.
- Maintain database for vendors and bid/proposal awards and answer procurement questions.
- Perform clerical work on bids and proposals and solicit formal and informal quotes as directed.
- Coordinate returns on order discrepancies with the vendors and warehouse department.
- Communicate with vendors regarding invoice or contract discrepancies.
- Respond to vendor calls and inquiries regarding the purchasing process.
- Maintain warehouse supplies stock.
- Coordinate contract renewal processes.
- Develop and maintain appropriate records including vendor W9 forms, certificates of insurance and
credit applications.
- Perform other duties as assigned.

? Knowledge of Federal, State and District rules, regulations, policies and procedures related to
area of assignment
? Knowledge of complex computer applications
? Knowledge of customer service/public relations practices and procedures
? Knowledge of recordkeeping/file management practices and procedures
? Skill accurately inputting and retrieving information from computer databases
? Skill utilizing verbal and written communication skills in the development of reports and
records
? Skill implementing policies and procedures related to area of assignment
? Skill utilizing customer service/public relations techniques when responding to inquiries and
complaints
? Skill establishing and maintaining effective working relationships
? Skill in, but not limited to:
o Email o Word Processing
o Spreadsheets
o Databases
o Presentation Software
o Accounting and basic math
o Use of standard office equipment

WORKING CONDITIONS:
Fast paced general office environment

PHYSICAL EFFORT:
Position may require climbing, stooping, standing, walking, keyboarding, talking, listening, eyestrain and
repetitive motions
May be required to travel to in and out-of-district sites
May require lifting and carrying materials and supplies weighing up to 20 pounds
